Templates save time when a team answers the same question daily. They fail when every customer receives the same text regardless of what they asked. A saved reply should be a starting point, not a substitute for reading.

Structure each reply by need

Write short templates for price, availability, location, and preparation. Use three parts: a direct answer, necessary detail, and one next step. Mark where the service, date, or branch must be checked before sending. A long copied paragraph can bury the answer.

Pause before sending

Did the customer ask two questions while the template answers one? Is the price or opening hour still correct? Does the opening sentence fit the conversation? This quick review makes the message more useful. For an unusual situation, write a fresh concise answer instead of stacking templates.

Learn from conversations
